Business Process Automation
Why Do You Need Business Process Automation?
Each day business owners and their staff, spend valuable time trying to make all their “prepackaged” systems work together. Typically, a small business cobbles together various systems on an as needed basis, perhaps purchasing Salesforce to manage leads and customer calls (CRM), adding Quickbooks for accounting, or utilizing Dropbox to send large files. Unfortunately, these systems don’t all work together or don’t work exactly the way you want or need them to.
This inability to have a seamless workflow, causes additional work, as the information from one system is then keystroked into another system, so your business can generate all the necessary paperwork for your customers. This is not only time consuming, but usually does not address all your requirements, leaving yet another hole in your system.
A custom designed workflow process means your employees continue to sell to customers, enter orders and send invoices, just as they do now, but paperless. The learning curve for this new system is easy, because it is not a new system, it’s your system, just managed more effectively.
In the initial stages we need to learn how you conduct business, so we can map out your workflow system. This step is crucial, so we offer the workflow analysis portion for free. This allows you to determine the benefits of installing a customized, efficient workflow system and how it will positively impact your business.
How We Develop Your Custom Software
At Consciat, we take a look at your workflow, from the initial customer call through to invoicing. We ask the important questions, as to why something is done and how it can be done more efficiently. The goal is to construct a model and integrate a workflow system that really works for your business and helps you save time and money. Generating a quote, letter, work order, or invoice becomes a simple, streamlined procedure.
We ask questions such as: What triggers certain decisions or actions to move a customer to the next step in the process? What department has responsibility for these action steps? How long does it take you to input data or output necessary work orders or forms? Etc. (Below is an example of a workflow map)
Once the current workflow system is mapped out, Consciat analyzes the entire system. We look at potential areas of improvement and give you a proposal, outlining the implementation of the system and a timeline for that implementation and what this will cost you.
After approval of the proposal, we start developing this electronic workflow system. We meet with you, weekly, to make certain we are addressing all your needs.
Consciat then begins implementing your system and training your staff. Once all training is completed, the system will go live. We are always there to support you and your employees, not just during the initial phase.
